Overview

Topic: Reading a research paper critically and summarizing it
Covers: The anatomy of a paper, three reading passes, critical questions, and the summary
Use: Turning fifty papers into an argument instead of a pile
Level: Doctoral business research
By: Saif Alghamdi

A doctoral project requires reading dozens of papers, and the difference between researchers who cope and researchers who drown is rarely reading speed. It is knowing that a research paper is not written to be read from beginning to end, that it should be read three times rather than once, and that the output of reading must be a structured record rather than a memory, because memory does not survive the fortieth paper.

Reading a paper is a distinct skill from reading a book, because a paper has a fixed anatomy in which each section answers a known question. Once that anatomy is internalized you stop reading linearly and start interrogating: you go to the section that answers the question you currently have. This is not skimming, which is reading everything badly. It is targeted reading, which is reading the right part thoroughly and the rest only as far as it serves your purpose.

Summarizing is the second half of the same skill, and it is where most of the value is created or lost. A summary written to record what a paper said is a note; a summary written to record what a paper contributes, how it did so, how well, and where it fits against other papers is an entry in an argument. The first kind can only be recited back. The second kind can be sorted, compared, and synthesized, which is exactly what a literature review requires. This framework covers the anatomy, the three-pass method, the critical questions applied at each pass, the structure of a usable summary, and the errors that make summaries worthless. It is my own synthesis, written in my own words and grounded in recognized scholarship.

Note: Judge a summary by a single test: six months from now, could you write a paragraph of your literature review from it without reopening the paper? If not, it recorded the wrong things.

The Anatomy of a Research Paper

Every empirical paper follows the same skeleton, and each section exists to answer one question. Knowing which question belongs to which section is what makes targeted reading possible.

Title and abstractwhat the study did and found, in miniatureIntroductionthe problem, the gap, and the questionLiterature reviewwhat was known before this studyMethodshow the evidence was producedResultswhat the evidence showed, without interpretationDiscussionwhat it means, and against what limitsConclusion and referencesthe claim, and the trail back to sourcesred sections carry the argument; grey sections support it

The title and abstract are the paper in miniature: what was studied, how, and what was found. They exist to let a reader decide whether to continue, and treating them as a summary of the findings is a mistake, because an abstract states conclusions without the evidence or the limits that qualify them. The introduction carries the argument for why the study exists: the problem, what is not known, and the question. This is the section a doctoral reader should study most closely early on, because it demonstrates how a gap is constructed and defended, which is precisely what your own proposal must do.

The literature review positions the study in existing knowledge, and it is doubly useful to you: it tells you what the authors thought mattered, and its reference list is a map to sources you have not found. The methods section is where credibility is decided. It answers how the evidence was produced: who or what was studied, how they were selected, how data were gathered, and how they were analyzed. A reader who skips methods cannot judge whether to believe the results, which means they are not reading critically but merely receiving.

Results report what the evidence showed and should contain no interpretation. Discussion is where interpretation belongs: what the findings mean, how they relate to prior work, what they cannot show, and what follows. The separation between these two is a quality signal in itself, and a paper that interprets inside its results section is usually one whose conclusions have outrun its evidence. The conclusion and references state the claim and provide the trail back to everything the paper stands on.

Two structural notes matter for reading. First, the paper's shape is an hourglass: it starts broad, narrows to a specific question and method, then widens again in the discussion. Knowing this tells you where generality lives and where specificity lives. Second, the sections are not equally reliable. Abstracts overstate, introductions are persuasive by design, and discussions are where authors are most tempted to claim more than the evidence carries. Methods and results are the sections least prone to inflation, which is why a critical reader weights them most heavily.

Note: When an abstract and a methods section disagree in tone, believe the methods section. Abstracts are written to be cited; methods sections are written to be defended.

Three

Reading in Three Passes

Reading a paper once from start to finish is the slowest and least effective method. Three passes, each with a different purpose and a stopping rule, cover more papers in less time and produce better notes.

The first pass takes five to ten minutes and answers one question: is this paper relevant to me? Read the title, the abstract, the section headings, the figures and tables, and the conclusion. Do not read the body. At the end you should be able to state the paper's category, its context, its apparent contribution, and whether it belongs in your corpus. The stopping rule is decisive: most papers should be discarded here, and a reader who cannot discard is a reader whose corpus will grow until it cannot be synthesized. Record a single line for discarded papers so that you never open them twice.

The second pass takes about an hour and answers: what did this paper do and find? Read the whole paper but ignore proofs, derivations, and technical detail you do not yet need. Look carefully at figures and tables, since these carry the findings in condensed form and often reveal weaknesses the prose smooths over: axes that do not start at zero, samples smaller than the claims imply, effects that look large in a chart and small in the numbers. Mark references you have not read, and at the end write the summary described in the next section. Most papers in your corpus never need a third pass.

The third pass takes several hours and answers: could I have done this, and do I believe it? It is reserved for the small number of papers central to your question, the ones your own study will build on or argue against. Here you reconstruct the authors' reasoning as if you were doing the work: what assumptions were made, what alternative designs were available, what would have happened if a different choice had been taken, where the evidence is thinnest. This pass is slow and it is where genuine expertise in a literature is built, which is why it is worth reserving for the five or ten papers that deserve it.

The practical discipline is to assign each paper a pass level and hold to it. Students routinely give every paper a second pass, which consumes the time that the third pass needed, and the result is a corpus understood evenly and shallowly rather than unevenly and correctly. Depth should be distributed according to importance, not according to the order in which papers were found.

Note: Decide the pass level before you start reading, and write it in the record. Papers do not announce their own importance, and the decision made after an hour of reading is contaminated by the hour already spent.

Four

The Questions That Make Reading Critical

Critical reading is not scepticism and it is not fault-finding. It is holding a paper to the standards it implicitly claims to meet, which requires a fixed set of questions asked of every paper regardless of how persuasive it seems.

On the question: is the research question stated explicitly, and does the paper answer the question it asked? Papers frequently drift, asking one question in the introduction and answering an adjacent one in the discussion, and the drift is invisible unless you check the two against each other deliberately. On the positioning: is the gap real, or is it asserted? A gap supported by a systematic search is a claim; a gap supported by little research has examined is often a claim that the authors did not look hard.

On the method: does the design fit the question, is the sample adequate and appropriately selected, are the measures valid for the constructs they claim to capture, and is the analysis appropriate to the data? Ask specifically who is missing from the sample, because sampling exclusions shape findings more than any other single decision. On the evidence: do the results support the claims made about them? This is the most productive question in critical reading and the one most often skipped, because it requires comparing the discussion against the results table rather than reading them in sequence.

On the limits: are limitations stated, and are they the real ones? A limitations paragraph that mentions only sample size while ignoring a cross-sectional design that cannot support the causal language used throughout is a signal about the authors' self-awareness. On the position: who funded this, what did the authors expect to find, and does the framing serve an interest? This is not accusation; it is context that a reader is entitled to weigh.

Two habits make these questions productive rather than merely critical. First, always ask what the paper does well before asking what it does badly, because a literature review built only on weaknesses cannot explain why the field believes what it believes. Second, record disagreements between papers explicitly when you meet them, since these are the seams where your own contribution is most likely to be found. A contradiction between two credible studies is not a problem in your reading; it is frequently the best question available to you.

Note: Ask of every paper: what would have to be true for this conclusion to be wrong? If you cannot answer, you have not yet understood the design well enough to use the paper as evidence.

Five

Writing a Summary You Can Actually Use

The summary is the deliverable of reading, and its structure decides whether fifty papers become a literature review or a folder. A usable summary has eight fields, written in your own words, in a template identical for every paper.

FieldWhat goes in itWhy it earns its place
Full citationComplete reference in your citation styleNever reconstruct a citation later
Research questionThe question in one sentence, as askedLets you group papers by question, not topic
Theory or frameworkThe lens the study used, if anyReveals the theoretical map of the field
MethodDesign, sample, setting, analysisSupports method-based comparison and appraisal
Key findingsTwo or three findings, with numbers where givenSpecifics are what a review is built from
LimitationsStated and unstated, in your judgmentFeeds the gap you will eventually claim
Relevance to my studyWhy this matters to your question specificallyThe field that makes the note yours
Quotable linesExact quotes with page numbersPrevents the return trip and the misquote

Two of these fields deserve emphasis. Relevance to my study is what converts a summary from a record into a tool, because it captures the thought you had while reading, which is the part that will otherwise be lost. Write it as a sentence connecting the paper to your question: supports my expectation that X, contradicts Y, provides the instrument I could adapt, shows the setting nobody has studied. Quotable lines must be marked as exact quotes with page numbers at the moment you copy them, because the most common route to accidental plagiarism is a phrase copied into notes without quotation marks and later written up as your own.

Everything else must be in your own words, and this is not merely an integrity requirement. Paraphrasing forces comprehension: a finding you cannot restate is a finding you have not understood, and discovering that while the paper is open costs minutes, whereas discovering it while writing the review costs a return trip. The discipline of paraphrasing at note-taking time is the single highest-return habit in the entire reading phase.

Store the summaries where they can be sorted, because the purpose of the structure is comparison. A spreadsheet with one row per paper and one column per field lets you sort by method to see how the field studies the question, sort by finding to see where studies agree, and filter by relevance to assemble a section. This is the synthesis matrix that the literature review chapter is built from, and it is produced free as a by-product of reading if the template is fixed from the first paper. Starting it at paper thirty means re-reading twenty-nine.

Bottom line: a paper has a fixed anatomy in which each section answers a known question, so read it in three passes with a decided depth rather than linearly. Interrogate every paper with the same critical questions, weight methods and results above abstracts and discussions, and write every summary into the same eight-field template in your own words, with exact quotes marked. Do this from the first paper and the literature review assembles itself.
