The viva is an oral examination in which examiners establish that the thesis is your work, that you understand it, and that it meets the standard for the degree. It is the last stage of a doctorate and the one candidates dread most, usually on the basis of a misconception about what it is for.
The misconception is that it is an attempt to catch you out. It is not. Examiners have read the thesis and formed a preliminary view before the meeting, and the viva is where they test that view: check that the work is yours, that you can explain the decisions, and that you understand the limitations. Difficult questions are how that check is performed rather than evidence that something is wrong.
Three consequences follow and they should shape your preparation. You know the thesis better than anyone in the room, including the examiners, because you spent years on it and they spent days. The questions are predictable, because they concern the same six areas in almost every viva. And conceding a fair point is a strength, since defending an indefensible choice is what damages a candidate rather than having made an imperfect choice.
Formats vary. Some institutions require a short presentation first, some are closed and some open to an audience, and the length ranges from about ninety minutes to three hours. Your institution's regulations state the format, the possible outcomes, and who will be present, and reading them is the first act of preparation.
This framework covers what the examination is for, the six areas questions come from, how to prepare, how to answer, and the outcomes and what they mean. It is my own synthesis, written in my own words and grounded in recognized scholarship.
Examiners are answering four questions, and every question they ask is in service of one of them.
Is this your work? This is the first and most fundamental, and it is established by whether you can discuss the thesis in detail without prompting: explain why you made a choice, recall what a particular participant said, describe how a variable was constructed. A candidate who wrote the thesis can do this effortlessly, and one who did not cannot.
Do you understand it? Writing something and understanding it are not the same, and examiners test the second by asking you to explain, to justify, and to apply. Why does this technique require that assumption, what would happen if it were violated, what would this finding predict in a different setting.
Does it meet the standard? A doctorate requires an original contribution to knowledge, competent execution, and appropriate presentation. The examiners have assessed this from the document, and the viva is where they resolve any uncertainty, which is why a viva with many questions about one chapter usually means that chapter is where their uncertainty lies.
Do you know the limitations? This is the most reliable single indicator of a doctoral-level researcher. A candidate who can name their study's weaknesses precisely, explain their effect, and say what would resolve them demonstrates the judgement the degree certifies. A candidate who defends everything demonstrates the opposite.
Two implications for how you approach the day. Enthusiasm is appropriate. You are the world expert on this specific study and you have been thinking about it for years, and a candidate who is engaged by their own topic reads very differently from one who is enduring the meeting.
And the examiners want you to pass. They have invested time in reading the work, the supervisor would not have allowed submission if it were not ready in their judgement, and outright failure is rare. The meeting is not adversarial, and treating it as such produces the defensiveness that actually causes problems.
Almost every viva question falls into one of six areas. Preparing an answer for each removes most of the uncertainty from the day.
Summarise it. Almost every viva opens with a version of this, and it is the question candidates most often answer badly, by starting at the literature and taking four minutes to reach the finding. Prepare a two-minute answer: the problem, the question, the method, the finding, and the contribution. Practise it aloud until it is fluent, because it sets the tone for everything after.
The contribution. What is new, and why does it matter? Have one sentence ready, and be able to expand it in three directions: for theory, for method, and for practice. This is the question the degree turns on, and hesitating on it is the single most damaging moment available.
The design. Why this method, why this sample, why not the obvious alternative? Every major design choice needs a two-part answer: the reason you chose it, and what you gave up by not choosing something else. That second half is what distinguishes a considered choice from an inherited one.
The weakest point. Examiners will find it, so find it first. Be able to name your study's three most serious limitations, explain what each means for the findings, and say what you would do differently. A candidate who names a limitation the examiners had not identified is demonstrating exactly the judgement being assessed.
The literature. How does your work sit against what you reviewed? Expect questions about specific sources, about work you did not cite, and about why you framed the field as you did. Reread your reference list and be sure you can say something about anything on it, since citing a source you cannot discuss is a visible problem.
What next. Where would you take this, and what should others do? Have three specific answers, phrased as studies rather than as topics. This is usually the closing question and a strong answer ends the examination well.
Preparation takes about two weeks of part-time work, and seven activities cover it.
| Activity | What it produces |
|---|---|
| Reread the thesis with notes | Familiarity with what you actually wrote |
| Build a chapter map | A page you can consult in the room |
| Write the six standard answers | Fluency on the questions that always come |
| List your own limitations | Answers to the hardest area, prepared |
| Read the examiners' recent work | Anticipation of their specific interests |
| Do a mock viva | Practice answering aloud under pressure |
| Prepare an errata list | Evidence that you have reread carefully |
Rereading the thesis is the foundation and cannot be skipped. Read with a pen, note anything you would now say differently, and mark the pages you may need to find. Most candidates have not read chapter two in a year, and a question about a claim in it is unanswerable if you cannot remember making it.
A chapter map is one page listing each chapter, its argument in a sentence, and the page numbers of your key tables and figures. Take it into the room, since you are allowed notes and a candidate who can turn to the right page in five seconds looks in command of the work.
The mock viva is the highest-value preparation and the most often skipped. Ask two academics who are not your supervisor to read the thesis and question you for an hour. It is uncomfortable and it is the only way to practise answering aloud, which is a different skill from knowing the answer.
An errata list of typographical errors you found on rereading is worth preparing. Offering it at the start signals that you have reread carefully and takes those errors off the table, since examiners will otherwise spend time on them.
Two practical matters. Take the thesis with tabs marking your key pages, plus your notes and a pen for recording what is asked. And know your institution's possible outcomes in advance, because hearing an outcome you do not understand is the worst possible moment to learn what it means.
Five habits in the room, and an understanding of the outcomes so that hearing one is not a shock.
Take your time. A pause before answering is expected and reads as consideration. Repeat the question if it helps. Write it down, which both buys time and gives you a record of what was asked.
Answer the question asked. The most common failure is giving the answer you prepared for a different question. Listen to the whole question, and if you are unsure what is being asked, ask, since answering the wrong question wastes the time you would have used on the right one.
Concede what should be conceded. That is a fair point, and it is a limitation of the study is a strong answer that closes the topic. Defending an indefensible choice extends the questioning and damages the impression, because examiners are assessing judgement rather than perfection.
Distinguish what you did from what you would do now. With hindsight I would have done X, and here is why is an excellent answer, because it shows that you have learned from the project, which is what a doctorate is supposed to produce.
Be specific. Refer to page numbers, name participants by their identifiers, quote your own findings. Specificity is the clearest evidence that the work is yours, and it is what distinguishes a candidate who did the research from one who could be describing anyone's.
On outcomes, most institutions have a similar ladder: pass with no corrections, which is rare; pass with minor corrections, typically typographical and small clarifications, completed in weeks and by far the most common; pass with major corrections, meaning substantial revisions to one or more chapters, completed in months and entirely normal; revise and resubmit, meaning the thesis must be reworked and re-examined; and fail, which is rare and usually the result of something that should have been caught before submission.
Two things to understand about corrections. They are not a criticism: minor corrections are the standard outcome and reflect the normal fact that examiners read more closely than anyone else has. And they are specified in writing, so you will receive a list rather than an impression, and completing it is a defined task rather than an open-ended one.
A closing point about the day itself. The viva is the only occasion in your career when two experts will read your entire work closely and discuss it with you for two hours. That is a rare thing and it is genuinely useful, and candidates who come out of it describing it as interesting are more common than those who describe it as an ordeal. Preparation is what makes the difference between those two experiences.
