Overview

Topic: Designing a research presentation
Covers: The six-move structure, time allocation, slide design, and preparing for the room
Use: Building a talk that leaves an audience with your finding
Level: Doctoral business research
By: Saif Alghamdi

A research presentation is not a compressed thesis. It has a different medium, a different audience, and a different goal, and treating it as a summary of the document is why most conference talks fail to land.

Three differences drive everything. The audience cannot go back. A reader who loses the thread rereads a paragraph; a listener who loses it is lost for the rest of the talk. Everything must be clear on first hearing, which means simpler sentences, more signposting, and far less material.

You have far less time than you think. A twenty-minute talk carries three or four ideas, not the twelve in your chapter. The work of preparing a talk is mostly deciding what to leave out, and a talk that tries to cover everything communicates nothing.

The goal is different. A thesis proves; a talk interests. Success is an audience that understands your finding and wants to ask about it, not one that has heard every detail of your sampling procedure.

This framework covers the six-move structure and how to allocate time across it, slide design that supports speech rather than competing with it, and how to prepare for the room you will be in. It is my own synthesis, written in my own words and grounded in recognized scholarship.

Note: Decide the one sentence you want the audience to remember, and write it down before building a single slide. Every slide either serves that sentence or comes out.

The Six-Move Structure

Six moves, in this order. The proportions matter more than the moves, and they are almost always wrong in a first draft.

1The hookwhy this matters, in one slide and thirty seconds2The gapwhat was not known, shown rather than asserted3The questionstated once, on its own slide4The methodenough to judge the evidence, no more5The findingsthe largest share of the time, one point per slide6So whatthe contribution and what follows from itsix moves; most weak talks spend on two and three what belongs to five

The hook is one slide and thirty seconds. Give the audience a reason to care before you give them context: a number that surprises, a situation they recognise, or a question they have not been able to answer. A talk that opens with a literature overview has spent its most valuable moment on the least interesting material.

The gap takes one or two slides. Show what is not known rather than asserting it: a table with an empty cell, two findings that conflict, a setting nobody has studied. Showing takes the same time as telling and is far more convincing.

The question is one slide with one sentence, and it should stay on screen while you say it. This is the pivot of the talk and the moment the audience decides what they are listening for.

The method is where most talks lose their audience. Give only what is needed to judge the evidence: who, how many, what was measured, and what analysis. Two or three slides at most, and no procedural detail that does not bear on trusting the finding.

The findings take the largest share, and this is the correction most first drafts need. One point per slide, each with a single supporting visual, and each stated as a sentence rather than a label. If you have three findings, that is three sections, not one slide with a dense table.

So what closes: the contribution in one sentence, and what follows for theory or practice. Then stop, on a slide that shows your one-sentence message rather than the word Thank you, so that the message is on screen throughout the questions.

For a twenty-minute talk the allocation is roughly: hook and gap three minutes, question one, method three, findings ten, so what three. Most drafts have method at eight and findings at four, and swapping those two numbers improves the talk more than any other change.

Note: Count your slides against your minutes. Roughly one slide per minute is a workable ceiling for a research talk, and a twenty-minute talk with forty slides has already decided to rush.

Slides That Support Speech

A slide competes with you for the audience's attention. Its job is to carry what speech cannot, and everything else on it is a distraction.

A document on a screenparagraphs the audience reads instead oflisteningA slideone idea, few words, and an image or a numberthat carries itif a slide can be read aloud, it is a script rather than a visualan audience can read or listen, not both, so the slide must not compete

People cannot read and listen at the same time. This is the governing constraint, and it settles most design questions. A slide of paragraphs means the audience reads it and stops hearing you; the same slide with six words and an image means they glance and return their attention to what you are saying.

Five rules follow. One idea per slide, stated as a sentence in the title so a reader who sees only the titles gets your argument. Few words, since the words are your speech and not the slide's job. One visual that carries the point, meaning a chart, a diagram, a photograph, or a single large number. Large type, because the person at the back is the one you are designing for. And consistent layout, so attention goes to what changed rather than to the design.

Two specifics matter for research talks. Charts must be simplified for the room. A figure that works in a thesis has axis labels, a legend, error bars, and a caption, all of which are unreadable at a distance. Rebuild it for the slide: fewer series, larger text, the key comparison highlighted, and everything else removed.

Tables almost never work on a slide. An audience cannot read a table with twelve rows in the eight seconds you give it. Show the two numbers that matter, or convert the comparison to a chart, and put the full table in a backup slide for the questions.

Three habits to avoid because they consistently fail. Reading your slides aloud, which tells the audience the slides are the talk and they need not listen. Bullet lists of full sentences, which is a document formatted as slides. And animations that reveal points one by one, which are occasionally useful and usually just slow.

One structural addition is worth the effort: build backup slides after the final slide, holding the detail you cut. Full tables, additional analyses, methodological detail, and the limitations you did not have time for. When a question arrives about something you removed, you have the answer on screen in one keystroke, and that is the single most impressive thing a presenter can do.

Note: Test your slides from the back of a room, or at a quarter of screen size. Anything you cannot read at that distance is not on the slide as far as your audience is concerned.

Four

Adapting to the Format

The same research is presented very differently depending on the occasion. Five formats recur in doctoral work and each changes the balance.

FormatTimeWhat it emphasises
Conference paper session15 to 20 minutesOne finding, its evidence, and its contribution
Doctoral colloquium10 to 15 minutesThe design and the questions you need help with
Progress review20 to 30 minutesWhat was done, what changed, and the plan
Viva presentation10 to 20 minutesThe contribution, stated and defended
Practitioner briefing10 to 30 minutesWhat it means for a decision they face

Two of these differ from the default enough to be worth stating. A doctoral colloquium is not a place to present polished findings; its purpose is feedback, so the useful structure spends less time on results and ends with two or three specific questions you want the room to address. A presentation that asks for nothing gets generic praise, which is the least useful outcome available.

A practitioner briefing inverts the academic order entirely. Start with the finding and what it means for a decision they face, give only enough method to establish credibility, and never open with a literature review. The audience is asking what should we do, and academic sequencing makes them wait fifteen minutes for an answer they came for.

Three practical matters apply to every format. Timing is a hard constraint, and running over is read as a failure of preparation regardless of the content. Rehearse aloud with a timer, since silent reading runs about thirty percent faster than speaking, and cut until you finish two minutes early.

Know the room: screen size and aspect ratio, whether you will have a pointer, whether you can move, and whether there is a lectern that will hide your notes. Ten minutes of checking removes the most common causes of a bad start.

And plan for the technology failing. Bring the file on a drive, have it accessible online, and know how you would deliver the talk with no slides at all, because if you cannot, you do not know your talk well enough.

Note: Write the talk in a document first, as prose, then build slides from it. Building slides first produces a set of headings you then try to speak between, and it is the most common reason a talk has no argument.

Five

Deciding What to Cut

Preparing a talk is mostly deletion. The method that makes deletion possible is deciding the message first and testing everything against it.

Write the one sentence you want an audience member to say to a colleague afterwards. Not a topic, a claim: flexible scheduling predicts retention in small firms but not large ones, and the difference appears to be about manager discretion. That sentence is the talk, and everything else exists to make it believable and memorable.

Then apply three tests to every slide. Does it serve the sentence? Material that is interesting but unrelated goes, however much work it represents. Would the audience miss it? Most methodological detail would not be missed by anyone, which is why it belongs in backup slides. Can it be shown faster? A table that becomes a chart, three slides that become one, a paragraph that becomes six words.

Two specific deletions improve almost every doctoral talk. Cut the literature review to one slide. The audience needs to know what was not known, not what was known, and one slide establishing the gap does more than five summarising the field.

And cut the methodology by half. Sampling procedure, instrument development, and validity checks are essential in the thesis and are not what an audience needs to follow a finding. Give the design, the sample, and the measure, and put the rest in backup.

Three additions repay their time. An example or a case, because a concrete instance is remembered when an abstraction is not, and thirty seconds describing one participant's situation makes a whole finding land. A signpost at each transition, telling the audience where you are: that is the design; now the findings. And a repetition of the key message at the end, because the last thing said is what is retained.

Finally, rehearse aloud, standing, at least three times. Silent rehearsal does not reveal the sentences you cannot say, the transitions that do not work, or the true duration. Time the third run, and if it is over, cut rather than resolving to speak faster, since nobody has ever succeeded at that.

Bottom line: a talk is not a compressed thesis, because the audience cannot go back, you have far less time than you think, and the goal is interest rather than proof. Use six moves: hook, gap, question, method, findings, so what, and give findings the largest share while cutting method to what is needed to trust the evidence. Design slides that support speech rather than competing with it: one idea, few words, one visual, large type. Decide the one sentence you want remembered, test every slide against it, build backup slides for what you cut, and rehearse aloud until you finish early.
