By the time you write, the intellectual work is done. Searching found the literature, screening bounded it, extraction aligned it, synthesis found the patterns. Writing is the operation of arranging what you already know so a reader arrives at your question by the same route you did.
That framing matters because most stalled review chapters are not writing problems. A chapter that will not start is usually a chapter whose synthesis is not finished: the author is trying to think and compose at the same time, which is two jobs and neither goes well. If the first paragraph will not come, the productive response is to go back to the matrix rather than to stare harder at the page.
The chapter has a conventional shape and there is no advantage in departing from it. Readers of theses have expectations about where things are, and meeting those expectations spends the reader's attention on your argument rather than on your organization. Originality belongs in what the chapter says, not in where it puts the search strategy.
This framework covers the six-part structure and what belongs in each part, the order to write them in which is not the order they appear, how long the chapter should be and how to tell, the voice and tense conventions, and a revision procedure that catches the failures a self-reading will not. It is my own synthesis, written in my own words and grounded in recognized scholarship.
Six parts, in this order, cover the chapter. The proportions matter as much as the parts: the thematic middle should be about three quarters of the words.
The introduction is one page and does three things: it says what the chapter covers and what it deliberately excludes, it states the structure so the reader knows where they are going, and it names what the chapter will establish. That last element is what distinguishes a purposeful chapter from a survey, and a reader who is told in advance that the chapter will show a contradiction reads everything afterwards looking for it.
The search strategy section is one to two pages and is not optional at doctoral level. It states the databases, the search terms, the date range, the inclusion criteria, and the approximate counts. Its purpose is to let the reader judge coverage, and its absence forces a reader to assume that whatever is missing was missed rather than excluded. In a narrative review it can be brief; in any review claiming systematic elements it must carry the full detail.
The conceptual ground defines the constructs, distinguishes them from neighbouring concepts they are often confused with, and introduces the theoretical framework the study will use. Its length depends on how contested the definitions are. Where a term is used inconsistently in the literature, this section is where you state which definition you adopt and why, and that decision governs everything afterwards including what counted as relevant in your search.
The thematic sections are the chapter. Each takes one theme, states what the literature collectively shows about it, presents the evidence, explains the disagreements, and ends by noting what remains unresolved. Three to five themes is typical. The themes must be ideas rather than categories of paper: a section called quantitative studies is an organization by method, which is a form of summary, whereas a section called the measurement problem is an organization by idea.
The gaps section collects what the thematic sections demonstrated and names it. It should contain no new evidence; if a gap requires evidence not presented earlier, that evidence belongs earlier. And the conclusion restates the state of knowledge in under a page and hands over to the methodology, ideally by stating the questions that the gaps imply, which are the questions chapter three will answer.
The order a chapter is read in is not the order it can be written in. Writing the introduction first is the most common way to lose a week.
Start with one thematic section, and specifically the one you understand best. Open the matrix, sort it on the dimension that section is about, and write the paragraphs as claim, evidence, explanation, connection. You will write four or five hundred words in an hour because you are transcribing thinking you have already done rather than doing it live. Finishing one section also calibrates everything else: you learn how long a section takes, how much of the matrix a paragraph consumes, and where the synthesis is thin.
Write the remaining thematic sections next, in any order. Expect the last one to be harder, because the themes you understand least well are the ones you postponed. If a section will not come, the diagnosis is almost always that the theme is not actually a theme: it is two themes stuck together, or it is a category of paper rather than an idea, and splitting or renaming it usually unlocks it.
Then write the gaps section, which by now writes itself, because the thematic sections have demonstrated everything it names. If you find yourself introducing new evidence in the gaps section, that is a signal that a thematic section is incomplete, and the material belongs there.
Then the conceptual ground, because only now do you know which definitions the chapter actually needed. Writing definitions first reliably produces three pages defining terms that never reappear, which is the most common form of wasted effort in a review chapter.
Then the search strategy, which is transcription from your protocol and log and takes an hour. Then the introduction and conclusion, written together and last, because both are summaries of a chapter that now exists. The introduction can promise exactly what the chapter delivers only when the chapter has been delivered.
One further habit is worth adopting: write section by section and revise nothing until the whole draft exists. Revising section two while section five is unwritten is a way of spending your best hours on the part you have already done. The draft will be uneven and that is correct, because unevenness is visible and fixable while absence is neither.
Three conventions govern how the chapter sounds. They are learnable in an hour and they are what distinguishes writing that reads as scholarly from writing that reads as a student essay.
| Element | Convention | Why |
|---|---|---|
| Length in a proposal | Two to five thousand words | The reader needs the gap, not the whole map |
| Length in a thesis | Eight to fifteen thousand words | All five review purposes must be served |
| Voice | Yours, with sources as evidence | The chapter is your argument, not a relay of others |
| Tense for a study | Past: Ahmed found | The study happened at a point in time |
| Tense for a standing claim | Present: engagement predicts retention | The claim is asserted as currently true |
| Tense for the chapter | Present: this section examines | The document is happening as the reader reads |
On length, the count is a symptom rather than a target. A chapter is long enough when every claim your study depends on has been established and every alternative explanation a reader might raise has been addressed. It is too long when it contains material that would not be missed. The reliable test is to delete a section and ask whether the gap statement still follows; if it does, the section was scenery.
On voice, the governing rule is that citations are evidence for your sentences rather than substitutes for them. Compare two forms. Ahmed found X, and Brown found Y, and Chen found Z is a relay. The evidence on this question divides by measurement approach, with behavioural measures showing X and attitudinal measures showing Y, is a claim with the citations attached. The second is your voice; the first is a list of other people's.
Use signalling verbs deliberately, because they carry evaluation economically. A study reports what it observed, argues what it contends, demonstrates what it established, suggests what its evidence is too weak to establish, assumes what it did not test, and claims what you have doubts about. A reader picks up your assessment from these verbs without your having to write a separate evaluative sentence, which is the most efficient criticality available.
On tense, the three-way convention above is standard and consistent violation of it is one of the more visible markers of an inexperienced writer. Past tense for what a specific study did; present tense for what is currently held to be true; present tense for what your own document is doing. The only common exception is that a finding now believed to be wrong is reported in the past even when phrased as a general claim.
Finally, avoid two habits that weaken every sentence they touch. Hedging stacked on hedging: it could possibly be suggested that there may be a relationship says nothing at all, and one hedge is enough. And the passive that hides the actor: it was found that removes the information about who found it, which is precisely the information a reader of a literature review needs.
Revision is a set of specific passes, each looking for one thing. Reading the whole chapter hoping to notice problems finds only the ones that happen to be visible on that day.
Pass one: the spine. Read only the first sentence of every paragraph, in order, ignoring everything else. Those sentences alone should tell a coherent story that arrives at your question. If they read as a list of topics, the paragraphs are individually sound and the chapter has no argument. Fix by rewriting opening sentences and reordering paragraphs, not by adding material.
Pass two: source versus idea. Scan the first three words of each paragraph. Paragraphs beginning with an author name are summary paragraphs. Rewrite each to open with the claim and demote the name into the evidence. This single pass converts more summary into synthesis than any other intervention.
Pass three: the criticality check. Highlight every sentence that expresses a judgement about a study rather than reporting its content. If a section has none, it is descriptive, and you need at least one evaluative sentence per section: something is well established, or a design is weak, or two measures are not comparable.
Pass four: forward connection. For each section, ask whether anything in it is used later in the thesis. Sections that appear nowhere in the methodology, results, or discussion are candidates for deletion regardless of how interesting they are. Conversely, check that every construct measured in chapter three was introduced in chapter two, because the reverse mismatch is the one examiners notice immediately.
Pass five: citation integrity. Verify a random sample of ten citations against the sources: does the source say what you say it says, is the year right, are the page numbers correct for direct quotations. Errors found in a sample of ten imply errors throughout, and this is the check that most often reveals a claim that drifted from its source through successive drafts.
Pass six: mechanical. Every in-text citation appears in the reference list and every list entry appears in the text. Formatting is consistent. Tense follows the convention. Headings are numbered and their titles state content. This pass is boring, takes an hour, and prevents the class of criticism that makes a reader doubt everything else.
Between passes, leave the chapter alone for at least a day. Self-editing works by reading as a stranger, and the interval is what makes that possible. If time is short, the two passes with the highest return are the spine pass and the source-versus-idea pass, because between them they address the two failures that define a weak review chapter.
